What to Expect on Your Wedding Day
Before Your Event
Once you book, we’ll connect with you (and your wedding planner if you have one) to align on your hat selection, color palette, and any custom patch requirements. For weddings, we typically recommend selecting hat colours that complement your wedding palette — we’ll guide you through the options.
Day of the Event — We Handle Everything
Our team arrives 60–90 minutes before your guests to set up the full hat bar — tables, linens, the complete patch gallery, mirrors, hat displays, and heat presses. By the time your guests arrive for cocktail hour, we’re ready and waiting. You don’t coordinate a thing.
During the Activation
Guests browse the patch collection, choose their hat, design their look, and our team heat-presses every creation on the spot. Each guest typically spends 15–25 minutes at the bar — long enough to create something they’re genuinely proud of, short enough that the line keeps moving. For larger weddings we staff additional heat-press stations to ensure throughput matches your guest count.
After Your Guests Leave
Our team handles complete teardown and cleanup. Your venue team won’t need to do a thing. You’re left with happy guests and a reception that exceeded expectations.

This depends on both the duration and your guest count — both factor into staffing and equipment. A 2-hour window with 80 guests requires a different setup to a 2-hour window with 200 guests. We factor throughput (guests per hour per heat-press station) into every quote to make sure no one is left waiting. Yes — outdoor weddings are beautiful for a hat bar. We need access to shade (to protect the hats and patches from direct sun) and at least one standard electrical outlet, or a generator if power isn’t available at the site.
